AI & Acceptable Use Policy

PiK Management Services · Last updated: 13 September 2026

This policy explains how PiK Management Services uses artificial intelligence, the limits of that technology, and how the service may and may not be used. It supports our Terms of Service.

1. How we use AI

Our service uses AI language models to read, draft, organise and route communications and admin tasks across the channels you connect. AI does the routine drafting and preparation; you (or an autonomy level you have set) decide what is sent or committed.

2. Human oversight — Hold-and-Flag

By design, anything carrying financial or contractual weight — payments, contracts, binding bookings — is held and flagged for a human decision before it goes anywhere. This is our core safeguard against the limitations of AI.

3. Limitations of AI

Because of this, human review of flagged items is an essential part of the service. Where you authorise higher autonomy for routine tasks, you accept the trade-off between convenience and oversight for those tasks.

4. Your responsibilities

5. Acceptable use

You must not use the service to:

6. Transparency with end customers

You are responsible for meeting any obligation to inform your own customers about the use of AI in your communications, where such disclosure is required by law or platform rules. We can advise on good practice on request.

7. Enforcement

We may suspend or terminate the service, with reasonable notice where practicable, if it is being used in breach of this policy or in a way that creates legal or reputational risk.
